Daily Mail

Mail Delivery and Collection

Delivery

  • Mail Service Center delivers once a day to the designated delivery point in each building. All outgoing mail should be at the delivery point by 9:00 a.m.
  • It is the responsibility of each department to pick up mail from that point and distribute it to all persons in the department.
  • Mail Service Center also makes a second delivery to Hovey Hall and Uptown Crossing at 2:30 p.m. each day.

Collection

  • Collection of mail is provided two times a day.
    • 9:00 a.m. - designated delivery point in each building.
    • 2:00 p.m. - Fell Hall
    • 2:30 p.m. - Hovey Hall
  • Departments not located in the buildings listed may drop off mail at Fell Hall by 2:00 p.m. or Hovey Hall by 2:30 p.m.

All mail that is collected by Mail Service Center or dropped off at Mail Service Center by 2:30 p.m. is guaranteed to go out the same day.

Overnight items may be dropped off at the Mail Service Center up to 3:30 p.m. for same day processing.

10 Cost Cutting Tips

  1. Screen your outgoing mailing lists for unnecessary or duplicate names.

  2. Fold multi-page material and enclose in a #10 envelope to save the extra charge of sending a “flat” mail piece.

  3. Do not over-insure; the vender will pay only the actual value of an item, not the declared value.

  4. Combine mailings to the same location into one large envelope.

  5. Use Priority Mail rather than express when two to three day delivery is acceptable and no tracking is needed. (Especially when mailing on Thursday or Friday)

  6. Use bulk rate mail when mailing more than 200 pieces of identical weight and contents.

  7. Use “Certified” instead of “Registered” mail whenever possible as it costs less and still (optionally) provides a (return) receipt and notice of delivery to the sender.

  8. Use Business Reply envelopes provided by vendors rather than University envelopes and postage.

  9. Use intra-campus envelopes for on-campus mail and regular business envelopes for off-campus mailings.

  10. For faster delivery of your mail, type or laser print (not hand written), use black ink, all capital letters, no punctuation, and place in the middle of a white envelope. Also, by using the ZIP+4 code, your mail will be processed in a more timely manner.

Mail Preparation

Your mail is important, therefore to help Mail Service Center process your mail in a timely fashion it is necessary for you to prepare your mail in the following manner:

  • Separate mail into the following groups:
    • International Mail
    • Mail to have postage applied
    • Typed
      • Sealed
      • Unsealed
    • Handwritten
      • Sealed
      • Unsealed
  • Stamped Mail
  • Inter-Campus Mail

Some other Rules:

  • All envelope flaps need to be down
  • Secure all groups of mail with a rubber band
  • Mail must face the same direction
  • Mail must have a University return address
  • Use a barcoded mail charge slip per group ie. foreign mail, domestic letter mail, domestic flat mail. Create your own daily mail charge slip.
  • Make sure to use an UPS or Overnight Slip with your UPS Items. Create some for your use.
  • Bulk Mail must be placed in trays or tubs provided by Mail Service Center. Do not use your own containers
  • Please call ahead if your outgoing mail volume is excessive.
  • Campus mail with more than 25 pieces should be grouped by mail code and rubber banded.

Packaging and Sealing

  • Packaging

    • Mail Service Center DOES NOT provide packaging materials or services. We accept properly packaged and marked parcels, and reserve the right to refuse non-mailable or improperly packaged articles or substances.
    • It is the responsibility of the sender to prepare packages for shipping and provide protection against deterioration or degradation of the contents.
  • Sealing

    • Mail Service Center equipment cannot seal overstuffed envelopes (max 1/4" thick), manila, invitation style or catalog style (end-opening) envelopes
    • Mail Service Center requires envelope flaps to be down to seal. If you send envelopes that are already sealed, separate sealed envelopes from the unsealed. If these envelopes are not separated, damage and delay occurs.
