General Information
Mail Preparation
Your mail is important, therefore to help Mail Service Center process your mail in a timely fashion it is necessary for you to prepare your mail in the following manner:
- Separate mail into the following groups:
- International Mail
- Mail to have postage applied
- Typed
- Sealed
- Unsealed
- Handwritten
- Sealed
- Unsealed
- Stamped Mail
- Inter-Campus Mail
Some other Rules:
- All envelope flaps need to be down
- Secure all groups of mail with a rubber band
- Mail must face the same direction
- Mail must have a University return address
- Use a barcoded mail charge slip per group ie. foreign mail, domestic letter mail, domestic flat mail. Create your own daily mail charge slip.
- Make sure to use an UPS or Overnight Slip with your UPS Items. Create some for your use.
- Bulk Mail must be placed in trays or tubs provided by Mail Service Center. Do not use your own containers.
- Please call ahead if your outgoing mail volume is excessive.
- Campus mail with more than 25 pieces should be grouped by mail code and rubber banded.
Mail Delivery and Collection
Delivery
- Mail Service Center delivers once a day to the designated delivery point in each building. All outgoing mail should be at the delivery point by 9:00 a.m.
- It is the responsibility of each department to pick up mail from that point and distribute it to all persons in the department.
- Mail Service Center also makes a second delivery to Hovey Hall and Uptown Crossing at 2:30 p.m. each day.
Collection
- Collection of mail is provided two times a day.
- 9:00 a.m. - designated delivery point in each building.
- 2:00 p.m. - Fell Hall
- 2:30 p.m. - Hovey Hall
- Departments not located in the buildings listed may drop off mail at Fell Hall by 2:00 p.m. or Hovey Hall by 2:30 p.m.
All mail that is collected by Mail Service Center or dropped off at Mail Service Center by 2:30 p.m. is guaranteed to go out the same day.
Overnight items may be dropped off at the Mail Service Center up to 3:30 p.m. for same day processing.
Campus Handouts
Deans, Directors & Department Head Handouts
Any handouts that are requested to be sent to deans, directors & department head's are sorted as one/box. These are not required to be addressed. If you would like to complete a mailing to deans, directors and department head's, send 150 copies to Mail Services and we will distribute.
